The posts are entirely voluntary and each member offers himself/herself for re-election annually.
The aims of the club are to promote interest in and enjoyment of the Karmann Ghia Marque and to assist its members in any practical way possible to achieve these aims. The purpose of this booklet is to introduce the committee to members and to provide key function and contact information.
Please refer to the latest copy of the Karmann Komment magazine for latest list of contact telephone numbers.
Please bear in mind that all the committee members are volunteers who give up their spare time to serve the aims of the KGOC(GB). Your consideration when telephoning will be much appreciated.
Chairman
An active and constructive role calling for a mix of co-ordination, help, support and encouragement with occasional dashes of leadership, plus overall involvement, knowledge of and interest in (but not interference with) all club activities and interests.
OBJECTIVE: To build on the success of an active club for the satisfaction and enjoyment of its members and to uphold the reputation and image of the club.
Conducting regular productive and unified committee meetings - each held against an agenda and ensuring action in respect of each set of minutes.
Conducting the Annual General meeting.
To seek new ways in which the club can further its aims
To encourage and consider all representations and ideas from members.
To respond with information or advice as appropriate.
To seek new services to be made available to club members

OBJECTIVES: To provide a friendly and approachable point of contact for members and anybody wishing to contact the club.
FUNCTIONS:
To receive by phone, post or e-mail/web page initial and ongoing contact from members and other interested parties.
To advise on the relevant person best suited to answer the query or solve the problem.
To maintain - in conjunction with the Membership Secretary - up-to-date records of all members and their cars.
To seek new ways in which the club can further its aims
To encourage and consider all representations and ideas from members.
To seek new services to be made available to club members

Membership Secretary - or - CUSTODIAN OF OUR VITAL RECORDS
Seen a Karmann Ghia? Gotta have one? But need help and advice? Want to join before taking the plunge and buying a KG? Or have you just bought one, and need to know where to locate all the information and parts you need? You need our Membership Secretary
OBJECTIVES: To provide a friendly and approachable point of contact for members and new members. Contacting the Membership Secretary is the first step towards receiving all the details on how to get your starter pack and most importantly the Karmann Komment (The club's bi-monthly colour magazine).
FUNCTIONS:
To receive by phone, post or e-mail/web page initial and ongoing contact from new and existing members. (Most enthusiasts soon discover the KGOC(GB) through listings in VW and other motoring magazines).
To send out club new member packs and joining information.
To maintain up-to-date records of all members and their cars.
To maintain bookkeeping, banking and membership records including renewals
To ensure membership renewals are correct and on time, sending reminders where necessary.

NB All records are computerised and kept solely for the use of the club and its members - the club ensures that the Data Protection Act is observed.

Treasurer - or - KEEPING A CLOSE EYE ON THE FINANCES
This job is all about keeping up with (or ahead of!) money coming into and going out from our club's funds. Income comes mainly from members' subscriptions, club shop profits and magazine advertising revenue. The principal item of expenditure is the printing (and posting) of the club's magazine - Karmann Komment'. There are also costs associated with the club's presence at shows and meetings attended throughout the year plus expenditure and any profit from the Type 14 & 34 Spares funds.
OBJECTIVES: To ensure that all expenditure and income for the club is reliably recorded, audited and prudently maintained.
FUNCTIONS:
Provide the chairman, and committee reliable financial information with regard to available cash for expenditure in meeting our commitments.
To monitor and forecast the club's Income and Expenditure
To maximise returns (interest) on any available cash surplus.
To compile and present the club's annual income statement to members at the AGM
To arrange for the audit of the annual statements.
To ensure that the clubs monetary commitments to suppliers are met - and to ensure that any monies owed to the club are collected efficiently.
To arrange for re-imbursement of approved out-of-pocket expenditure for members duly authorised to spend the clubs funds.
To liase closely with the spares Secretaries of the Type 14 & 34 Spares funds and monitor funding available and necessary.
To maintain suitable and cost-effective insurance against potential third party liabilities.

Magazine Editor - Maintaining the club's communications with its members
The job of Editor of Karmann Komment revolves around the compilation, production and dispatch of the 6 magazine issues each year. The aim is to make them as interesting, attractive and informative as possible, which in turn involves arranging and coordinating the contents, obtaining (by whatever means necessary - even writing!) sufficient suitable articles, cover illustrations and other items of interest.
OBJECTIVES: To ensure that all magazine printing deadlines are met and that the material is delivered to the printers to ensure punctual distribution to members.
FUNCTIONS:
To compile each issue at 44-52 pages, including articles, correspondence and pictures received from club members.
Topics will include; General Interest articles: Tour Tales: Show and meeting reports: Technical queries and information: Restoration progress and completion items: Reviews of books, models or new products: Members letters - and anything else likely to interest our members!
To allow space for: Editorial Pages: Future Events Details: New Members Listings: Club Shop: Cars and Parts for Sale: Commercial Advertisements.
To deliver the duly compiled material to the printers together with postage information and labels.
To liase with Membership Secretary to ensure that the listing of members and complimentary copies is as up-to-date as possible. (This is an important point because production and posting of each issue makes up our biggest annual cost - we can't afford to produce and send out copies where membership has lapsed!)
Monitor each issue for printing problems - liase with and assist printers as necessary

Events Co-ordinator - or - ' THE VITAL CLUB ACTIVITIES CALENDAR'
An attempt to sort out the lengthening list of classic car shows, meetings and happenings all over the country in each year and make judgements on priority and the club's potential involvement.
OBJECTIVES: To ensure that the club is represented as often as possible at shows and events anywhere in the country consistent with the economics of the show and the availability and willingness of members to participate.
FUNCTIONS:
Coordinate where we - KGOC(GB) -appear and why!
To capitalise on all opportunities for the promotion of the marque and the Owners Club.
To monitor and account for the club's 'events budget' - Whilst this is adequate it is definitely finite so where promoters offer us a club plot free - that's always a good incentive!
To ensure that any club presence does justice to the club, the show and the Karmann Ghia itself.
To maintain a register of members who are willing to support local and national events on behalf of the club.
To make known the existence of and to co-ordinate the whereabouts of the club's display props (tables, flags, tents, membership application forms etc) and to ensure they are kept in good condition and available when needed for the next event.
To prepare and publish in KK 'Events List' and on the club's website details of all events the club will be supporting.

Type 14 Register Secretary and Type 34 Register Secretary
OBJECTIVES:
To maintain a detailed database of all known Type 14 / 34 cars.
To include information on

- Year of Manufacture
- Owners Surname
- Address
- Postcode
- Membership No.

Spare Parts Secretaries (T14 & T34) - or - KEEPING KG'S ON THE ROAD
The club can supply (or advise on suitable sources) many rare mechanical and body parts which are available through bulk purchase channels and can also offer members a spares mail order service.
OBJECTIVES: To provide advice and assistance on obtaining spare parts for the Karmann Ghia Types 14 and 34 and to run the Club's own spares service.
FUNCTIONS:
Maintain a 'Spares Fund' for the type.
To hold and manage the club's stock of spare parts for sale in the most economical manner possible consistent with obtaining the best possible 'value for members money'.
Procure obsolete spares or those becoming rare - perhaps from cars to be scrapped - for onward sale - or to be used as patterns.
To arrange for reproduction of those unavailable spares most in demand as economically as possible.
Where parts are available - typically mechanical items - arrange for retailers to offer discounts to KGOC(GB) members.
Be aware of any alternative parts from other vehicles of other makes/models that may be fitted without modification.

Club Shop Secretary
The club has a number of items available for the purchase by members, which are either of technical interest (Books etc.), clothing items (Tee-shirts, Sweat Shirts etc.) or car accessories (Covers, Windshields etc.) All are available either by mail order or from the club stands attending the various club-supported events during the course of the year. Full details of the goods available are published regularly in KK.
OBJECTIVES: To provide a mail order and shop service for KG related items to members (and Non- members)
To maintain a stock of relevant items for sale to members. Including but not limited to:- Clothing, Regalia, Car Covers, Posters, Pictures, Technical Information.
To receive and dispatch orders for goods.
To seek new ways in which the products & services on offer can be improved.
To account for stock and all monies disbursed and to feed any profits made back into the club accounts to assist with the club's operating funds.
To attend to all enquiries received by phone, post or e-mail.
To store all the goods involved.
To arrange for 'Club Shop' presence at shows supported by the KGOC(GB).
To publish and maintain stock lists in KK and price lists for shows.

International Club Liaison Officer - or - Overseas Camaraderie
The main aim of this activity is to establish good relations with KG related clubs in and enthusiasts in other countries. All with a view to the reciprocal exchange of club magazines plus details of main meetings etc or perhaps help.
OBJECTIVES: To provide a focal point for all international activities of the club and to disseminate information within KGOC(GB) about overseas activities available to members.
FUNCTIONS:
To be aware of Karmann Ghia meetings to be held in other countries.
To distribute relevant information - mainly through KK
To distribute information to foreign clubs about GB activities, particularly our own International meeting.
Where feasible attend - or arrange for other members to attend overseas meetings.
To maintain a register of KGOC (GB) members keen to travel to overseas meetings.

Area Secretaries - or - Your Local Contact
Most Area Sec's are enthusiasts in their own right who have started using their cars and, having found that they enjoyed them, decided to 'give it a go' in their own locality.
OBJECTIVES: To provide a locally based contact and focal point for club activities and to disseminate information about activities available to members.
FUNCTIONS:
To maintain contacts with local members.
To welcome new members in the relevant area
To provide help and advice where possible (If unable to answer queries - they may know a man who can!)
To run - where possible - a number of "local days out" during each year, for example a private motor museum, pub lunches, treasure hunts. Suggestions always appreciated!
To act as liaison for club presence at regional shows in the area (e.g. Detling, Brooklands, Peppercorn, Brighton Breeze, Malvern, Stanford Hall)
To ensure that, at these shows, there is a club area for all members to gather together.
To maintain a register of local club members interested in participating in shows.
To report on area activities for 'Karmann Komment'
